Reunion Homecoming Registration Assistant (Three open positions) August 1 – October 31, 2016

POSITION SUMMARY:
The three Reunion Homecoming Registration Assistants are temporary members of an energetic team and report to the Manager, Event Registration in the Alumni Event Services department of the Stanford Alumni Association. The registration assistants will be responsible for assisting the registration process for Reunion Homecoming — including data entry and all customer service — for approximately 9,000 returning alumni and guests. Reunion Homecoming Weekend is Thursday, October 20 - Sunday, October 23, 2016. The registration assistant position is a fixed-term, non-exempt, and non-benefited position.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Work with the Reunion Homecoming team of staff and volunteers to ensure an organized and seamless Reunion Homecoming registration process for all returning alumni.
• Process and enter Reunion Homecoming registration information and payments into the registration database system.
• Handle necessary problem-solving for registrants, via phone, fax, mail, and e-mail.
• Maintain accurate registration records and reports, and respond to staff and volunteer needs for updated registration information.
• Process changes to original registration forms, including add-ons, refunds, and cancellation requests.
• Respond promptly to phone and e-mail inquiries and fulfilling requests for information from alumni and staff.
• Ensure the accuracy of data entry, payments and the confirmation process.
• Produce nametags, event tickets, and registration packets.
• Staff the on-site registration area throughout the duration of Reunion Homecoming Weekend. Enter and process all on-site registrations.
• Process post-weekend refunds and other special requests; generate registration reports and create a detailed job training binder.
• Special projects, as assigned, including assisting staff with non-registration Reunion Homecoming tasks and possibly other event registration assistance as needed.

QUALIFICATIONS:
• Excellent customer service and communication skills (phone, email and in-person)
• Must be available to work occasional evenings and weekends leading up to Reunion Weekend, as well as around the clock hours during reunion weekend (Oct. 20-23, 2016)
• Commitment for the duration of the job is essential (Aug. 1 – Oct. 31, 2016)
• General office experience including data-entry and phone work. Related experience in project coordination helpful
• Ability to work effectively with staff, clients, and the community
• Extreme attention to detail and organization is essential
• Ability to prioritize, self-motivate and follow through on tasks and assignments with limited supervision

• Ability to solve problems and work effectively in an active team-oriented environment
• Ability to work under pressure, manage multiple tasks, meet numerous deadlines, respond quickly and tactfully to concerns and problems, and make sound decisions
• Skilled on a PC. Familiarity with Stanford’s PostGrads database system is preferred, but not required
• Familiarity with general accounting principles and duties very helpful
• Familiarity with Stanford University is preferred but not required
• Ability to drive a car/service vehicle and possess a valid California driver's license is preferred

PHYSICAL LIMITATIONS:
Ability to lift/carry up to 40 pounds of program supplies and equipment; look at a visual display terminal and work at a keyboard for extended periods of time. Reunion Homecoming Registration Assistant (Three open positions) August 1 – October 31, 2016
